What we collect and why
We only collect what you give us, or what is needed to run the sites safely.
- Booking and viewing requests: your name, phone number, email address, preferred site, unit size, plan, start date and any message you add. We use this to reply to you, confirm availability and price, arrange a viewing and set up your unit.
- Booking online: the online booking pages run on our booking provider, Stora, at booking.saxondaleselfstorage.co.uk. Stora collects the details you enter there, including payment details, under its own privacy notice.
- Calls, emails and messages: whatever you tell us, so we can answer your question and keep a record of it.
- Once you rent a unit: the details in your storage agreement, which are covered by the agreement and by this policy.
- At our sites: CCTV images and access records, used to keep customers and goods secure and to deal with incidents.
- Visiting this website: our web host keeps standard server logs, which include your IP address and the pages you request, to keep the website running and secure.
We do not take payment details on the enquiry forms on this website.
Our lawful basis
- Contract: we use your details to take steps you have asked for before entering a contract, such as a quote, a viewing or a booking, and then to perform the storage agreement.
- Legal obligation: for example keeping accounting and tax records.
- Legitimate interests: running and securing the business, including CCTV and website security, always weighed against your rights.
- Consent: only for Google Analytics, which runs only if you accept, as explained in our Cookie policy. You can change your choice at any time.
You do not have to give us your details, but we cannot reply to an enquiry or arrange a booking without them. We do not make decisions about you by automated means.
Who sees your details
Your enquiry is emailed to our team and saved in the private admin area of this website. We use trusted providers to run the website, host it, send email and take online bookings, and our website developers, Amax Marketing, can access the website to maintain it. They act on our instructions or under their own privacy notices and may only use your data to provide that service. Some providers may process data outside the UK, in which case we rely on the safeguards the law requires. We do not sell your data and we do not use it for third-party marketing.
Cookies and similar technologies
This website does not use advertising cookies. It stores two small settings in your browser: your chosen unit size, and your cookie choice. If you accept, we use Google Analytics to see how the site is used, and Google sets cookies and receives your IP address and browser details. If you decline, it is not loaded. The map on our home page also loads from other companies (cdnjs.cloudflare.com and OpenStreetMap), which see your IP address in order to deliver it. Full details are in our Cookie policy.
The postcode finder sends the postcode you type to postcodes.io, but only when you use it. If you choose to share your location, your browser works out the distance on your device and it is not sent to us.
How long we keep it
We keep enquiry details only as long as needed to deal with your request and any follow up, normally no longer than 12 months after your last contact, and then delete them. Records for customers who rent a unit are kept for as long as the agreement runs and for the period the law requires afterwards. CCTV recordings are kept only as long as needed for security and are then overwritten.
Your rights
Under UK data protection law you can ask us to access, correct or delete the data we hold about you, to restrict or object to how we use it, and to receive it in a portable format. You can also withdraw consent at any time where we rely on it. We will normally reply within one month and do not charge a fee. Contact us at info@saxondaleselfstorage.co.uk or on 0300 124 7544.
If you are unhappy with how we handle your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
